When to use

Boards in Workflowy let you turn any list into a visual kanban-style layout - perfect for workflows like To Do / Doing / Done, content calendars, or project pipelines. Each column is just a bullet with nested items, so you can drag tasks between stages while keeping your outline structure intact. It's a flexible way to see progress at a glance, stay organized, and manage work visually - right inside Workflowy.

Boards

Fractal boards are Workflowy’s version of kanban boards. Items in fractal boards can be infinitely nested and can hold any type of item or content, including other boards.

Create a board

You can turn any nested list of items into a fractal board. The first level of nesting will become the column names. The second level of nesting will become the cards in each column.You can create a board using the item menu, the layout option in the menu bar, or the slash menu. The steps below are for the item menu.

1. Open the bullet menu for the item you want to turn into a board
2. Click on 'Bullets' in the bullet menu
3. Click on 'Board'

Add cards

You add new cards to a column by clicking the plus icon at the bottom of the column. You can also create cards the same way you create new items in a list by pressing RETURN on your keyboard.

1. Hover over the plus icon in a column
2. Click it and start typing

Add columns

You can only add new columns to a board from the right side. Once you create a new column, you can then move it to a new location.

1. Navigate to the right-hand side of the board
2. Click the plus icon at the top of the board

Move cards

Unlike most items, cards have the bullet point on the right side. As you drag a card, you will see a horizontal or vertical line that shows the new location of the item once you let it go.

1. Mouse over the card you want to move - the bullet point will appear
2. Click and drag the bullet point to the new location
3. Let go of the bullet point

Move columns

Columns also have the bullet located on the right side. As you drag the column, you will see a vertical line that shows the new location of the column once you let it go.

1. Mouse over the column title - the bullet point will appear
2. Click and drag the bullet point left or right until a vertical line appears
3. Let go of the bullet point

Works well with...

  • Mirrors → Use mirrors to display the same task or idea in multiple boards or columns. A mirrored card updated in one board instantly reflects everywhere else - perfect for cross-project coordination.
  • Tags & Dates → Combine boards with tags (#priority, #blocked) and natural language dates (!!this week, !!next month) to track progress and deadlines visually.
  • Templates → Build reusable board templates for recurring workflows - like content calendars, sprint planners, or pipelines - ensuring every new board starts fully structured.
