Learn to use tags and dates in Workflowy to get organized and filter items.


When to use

Colors in Workflowy let you visually organize your bullets at a glance. You can add background colors to highlight priorities, group related items, or simply make your outline more readable. Use them to draw attention to key tasks, separate sections, or give your workspace a personal touch. It’s a simple way to add structure and focus - without overcomplicating your flow.

Color or highlight text

  1. Select the text you want to color - the text format widget will appear
  2. Click on the text color icon down arrow
  3. Choose a text color or highlight color
  4. The next time you want to color text or highlight it, you can click on the text color icon to apply the last style used.

Color a tag

You can choose the color of any tag. Anytime you update the color of a tag, existing tags will update to the new color.

  1. Mouse over a # or @ tag
  2. Click on the down arrow that appears to the left of the tag
  3. Choose the color you want for that tag
