Quick Add

Capture text and links from desktop, iOS, and Android.


Use Quick Add when something should get into Workflowy now, but you do not want to stop what you are doing to decide where it belongs.

It's useful for:

  • Ideas or tasks that come up when you're away from your desk.
  • Links you want to read later.
  • Notes copied from another window.

Desktop Quick Add

The Workflowy desktop app provides a global shortcut that opens Quick Add over the app you are currently using.

  1. Press Win+Alt+N on Windows or Option+Cmd+N on Mac
  2. Enter or paste your text, link, or Markdown
  3. Select Save

Captured items are added to your Workflowy Inbox.

Turn the desktop shortcut on or off

The location of the Workflowy window settings depends on your operating system.

  1. Open the Workflowy desktop app's Window settings
  2. Toggle Quick Add Shortcut
  3. Allow the app to restart and apply the change

Quick Add on iPhone and iPad

Workflowy provides an Apple Shortcut that adds text to your Inbox. You can run it from the Shortcuts app, ask Siri to run it, or assign it to the Action Button on a supported iPhone. You'll need the Workflowy iOS/iPad app installed.

Enable the Workflowy shortcut for Siri

  1. Open the Shortcuts app
  2. Press the < button in the header to view the Shortcuts Library
  3. Scroll to the Apps section, and select Workflowy
  4. Press the i button in the top-right corner and toggle on Siri
  5. Once enabled, say "Hey Siri, add to Workflowy," and then speak or type the item you want to save.
  6. Workflowy adds it to your Inbox.

Quick Add on Android

Quick Add on Android accepts text and links and saves them to your Workflowy Inbox. You'll need the Workflowy Android app installed.

  • Long-press the Workflowy app icon, and select Quick Add.
  • Add the Workflowy Quick Add widget to your Home screen.
  • Press Enter while composing to turn following lines into child nodes beneath the first item. Save the capture when you are finished.

Review captured content

Captured nodes are added to the Inbox node, which is automatically created when you first use Quick Add or Mobile Share To on any device.
