Send content from other apps into Workflowy with ready-made Zaps.


When to use

Zapier automatically sends content from other apps into Workflowy. You can make your own Zaps or use the ready-made templates below.

Note Zapier currently supports only sending content to Workflowy, not reading from Workflowy and sending to other apps.

Steps to set up

  1. Pick a template below and click 'Use this Zap', or create a new Zap in Zapier.
  2. Finish the trigger step for the app sending content to Workflowy.
  3. When Zapier asks to connect Workflowy, open workflowy.com/api-key, generate an API key if needed, and copy it.
  4. Paste the API key into Zapier's 'Connect' pop-up
  5. Choose a save location. Leave it blank for Workflowy Home, or paste a Workflowy bullet URL.
  6. Map app fields to Workflowy Title and Note, test the Zap, and publish it.

Keep your API key private. It gives access to your Workflowy account and will continue working unless you delete or regenerate it.

Starter Zaps

Gmail emails

Forwards incoming Gmail messages to Workflowy via a custom Zapier email address.

Use this Zap

Setup this Zap

  1. In Zapier, choose or create a custom Zapier email address for the trigger.
  2. Send a test email to that address so Zapier can read the sample message.
  3. Set Workflowy Title to 'Subject - Body Plain'.
  4. Set Workflowy Note to 'From'.
  5. In Zapier, set and copy your custom Zapier email address.
  6. In Gmail, go to 'Settings' > 'Forwarding and POP/IMAP' > 'Add a forwarding address'.
  7. Paste the custom Zapier address, save, and confirm Gmail's verification email.
  8. Return to 'Forwarding and POP/IMAP', choose the Zapier address under 'Forward a copy of incoming mail...', and save.

Dropbox file uploads

Adds a Workflowy item with a file link whenever a file is uploaded to a Dropbox folder.

  1. Connect Dropbox, then choose the space and folder to watch.
  2. Test the trigger with a recent file from that folder.
  3. Set Workflowy Title to 'File Name'.
  4. Set Workflowy Note to 'Direct Media Link'.

Email text snippet

Sends text received at a custom Zapier email address into Workflowy.

  1. Choose or create a custom Zapier email address for the trigger.
  2. Send a test email to that address so Zapier can read the sample message.
  3. Set Workflowy Title to 'Subject - Body Plain'.
  4. Set Workflowy Note to 'From'.

Google Calendar

Creates a Workflowy item when a new Google Calendar event is added.

Google Contacts

Creates a Workflowy item when a new Google contact is saved.

Sends new Reddit posts from a subreddit, user, or search term into Workflowy.

  2. Enter the subreddit, username, or search query Zapier should monitor.
  3. Set Workflowy Title to 'Title - Selftext'.
  4. Set Workflowy Note to 'Url'.

RSS feed

Sends new entries from an RSS feed into Workflowy.

Slack mentions

Sends selected Slack messages or mentions into Workflowy.

Adds new Todoist tasks to Workflowy.

ChatGPT voice memo transcription

Transcribes emailed voice memos with OpenAI and sends the text into Workflowy.

Before you start

This Zap requires a paid Zapier plan because it has more than two steps. You'll also need an OpenAI API key for transcription.

Setup this Zap

  1. Choose or create a custom Zapier email address for the email trigger.
  2. Send a voice memo attachment to that address so Zapier can read a sample file.
  3. Add the OpenAI action 'Create Transcription' and set File to 'Attachment'.
  4. Set Workflowy Title to the transcription 'Content'.
  5. Set Workflowy Note to 'Raw Date'.

YouTube video search results

Sends new YouTube search results into Workflowy.
